Data Deletion

This page explains how to ask for your personal data to be deleted from Beevi, exactly what is removed, what we are obliged to keep, and how long the whole process takes.

1.First, work out who holds your data

Beevi is software used by other businesses. Almost all of the personal data in the platform was entered by one of those businesses about its own customers. Which route you take depends on which describes you.

  • You messaged a business on WhatsApp or Instagram, or you are its customer, member, patient or client. That business holds your record and decides what happens to it. Use route A.
  • You are a Beevi account holder, or you run a business that subscribes to Beevi. Use route B.

If you are not sure, write to us anyway at [PRIVACY CONTACT EMAIL] and we will point you to the right place.

2.Route A: you are a customer of a business that uses Beevi

Contact that business directly, in writing, and ask it to delete your data. It can do this itself inside Beevi, and it does not need our permission. If you messaged it on WhatsApp or Instagram, replying in that same conversation is enough to make the request.

Tell it:

  • Your full name.
  • The phone number, Instagram handle or email address it has for you.
  • That you are asking for your personal data to be deleted.

If you cannot reach the business, or it does not respond, email us at [PRIVACY CONTACT EMAIL] with the subject line Data deletion request and include the name of the business, your name, and the phone number or email address it holds for you. We will locate the record, pass the request to that business as its data controller, and where it instructs us to, carry out the deletion ourselves.

3.Route B: you hold a Beevi account

Email [PRIVACY CONTACT EMAIL] from the address on your account, with the subject line Data deletion request, and tell us whether you want:

  • Your own user account deleted. We remove your profile, your sign in credentials, your notification and push settings, and your assistant chat history.
  • Your entire organisation deleted. Only an owner or administrator can ask for this. It removes the whole tenant and everything in it. Export anything you need first, because it cannot be undone.

4.What gets deleted

For an individual whose record is held by a business using Beevi, a deletion removes that person's record and the personal data attached to it, which depending on the modules in use can include:

  • Contact details: name, phone number, email address, postal address, date of birth, gender and profile photo.
  • Emergency contact details.
  • Lead and CRM data: source, notes, tags, interests, interactions, meetings and follow ups.
  • Bookings and attendance: appointments, class bookings, court reservations, personal training sessions and check ins.
  • WhatsApp and Instagram conversations and messages held for that contact, including stored media and the raw webhook payloads that carried them.
  • Marketing and notification records: campaign sends, email, SMS and push messages addressed to that person.
  • Clinic records where they exist: consultations, prescriptions, treatment plans, vital signs history, lab orders and results, uploaded patient documents, before and after photographs and insurance claims.
  • Salon records where they exist: service preferences, allergy notes and before and after photographs.
  • Loyalty balances, store credit and gift card records.
  • Files stored for that person in our file storage.

For a Beevi account holder, a deletion removes the user profile, the authentication record, notification preferences, push subscriptions and assistant chat history. For a whole organisation, it removes the tenant and every record in it.

5.What we may have to keep, and why

A few things survive a deletion request, because the law requires it or because removing them would falsify someone else's records. We keep only what is necessary, and nothing more:

  • Financial records. Invoices, receipts, payments and refunds have to be kept for tax and accounting purposes for the period the applicable law sets. Where a person is attached to paid invoices, the platform anonymises or deactivates the record rather than deleting it outright, so the accounts stay correct.
  • Audit log entries. A limited record that a change was made, and by which staff account, is retained so the business can account for its own actions.
  • Suppression records. If you asked not to be contacted, we keep the minimum needed to honour that, otherwise the next import would simply add you back.
  • Backups. Deleted data can persist in encrypted backups until those backups rotate out. They are not used to restore deleted records, and they are purged within [BACKUP RETENTION PERIOD].

6.How long it takes

  • Acknowledgement: we confirm we have received your request within 5 working days.
  • Verification: we may ask you to confirm your identity, so that nobody can delete someone else's record. We ask only for what is needed to be sure it is you.
  • Deletion from the live platform: within 30 days of a verified request.
  • Deletion from backups: within [BACKUP RETENTION PERIOD] of the live deletion, as backups rotate.
  • Confirmation: we write to you when it is done, and we tell you plainly if anything was retained under the section above.

If a request is complex we may need longer, up to a further 30 days. If that happens we will tell you before the first 30 days are up, and explain why.

7.Note for Meta platform users

This page is the data deletion instructions url for the Beevi application on the Meta platform, covering the WhatsApp Business Platform and Instagram messaging.

Removing the Beevi app from your Meta account, or disconnecting the channel, stops any further message data reaching Beevi, but it does not by itself delete messages already stored by the business you were talking to. To have those deleted, follow route A above.

8.Where to send a request

Email [PRIVACY CONTACT EMAIL] with the subject line Data deletion request, or write to [LEGAL ENTITY NAME], [REGISTERED ADDRESS].
